Project Manager & Operations Specialist
A project or contract position at Quill , ON, Canada
Salary range: $50,000 to $75,000 (yearly rate) - subject to experience
About the Role: In this role, you’ll work primarily as a project manager and operations specialist who will assist the leadership and project management teams in running Quill and to a smaller extent, CoHost. You will work in a remote environment and must be able to produce consistent, stellar creative output working with a range of different people and personalities.
Responsibilities:
- Project Management: Leading the project management and scheduling of production clients and supporting our Director of Project Management on developing and executing effective project management processes for the agency
- Client Communication + Account Management: Regular communication with client teams that encourages a collaborative environment and ensures top notch client service. This will include accepting and managing feedback, meeting with clients on a regular basis to discuss progress, troubleshooting client questions + issues and consulting on podcasting best practices.
- Internal Process Development and Management: You will also be responsible for leading and maintaining our agency processes (including regular meetings and brainstorms, tracking processes and more).
Management:
- People Management: Mentorship, people management and providing feedback to no more than 1-3 junior members of our agency team
Production:
- Production Management: Oversee the process of developing podcasts and making sure things are running smoothly, on time and on brief.
- Podcast Production: Have the ability to assist with some hands-on production work including managing remote recordings, episode distribution and guest sourcing.
- Content Writing: Have the ability to assist with research, content and script writing, episode planning and more.
Company Operations:
- Assisting with Company Finance: Working closely with our CFO on:
- Tracking company expenses
- Tracking company budgets
- Managing application for grants and management of reporting for grants won
- Invoicing and procurement of agency and CoHost clients
- Making and tracking credit card purchases for client and internal purposes
- Recruitment and HR: Support with the hiring, onboarding and offboarding of team members.
Ideal Candidate will:
- Have history with project management and company operations (ideally in a startup setting)
- Have history with working professionally with podcasting or at least in a content production environment
- Have exceptional client management skills and superb communication skills
- Be a quick learner
- Have impeccable attention to detail
- Have the ability and personality to take initiative and take charge of a project
- Have the ability to work independently but must also work well with a team
- Be a Jack or Jill of all trades who has a holistic understanding of project management and production
- Have excellent time management skills and the ability to juggle multiple projects
- Have the ability to think creatively and proactively to generate solutions to spontaneous issues or client account problems
- Have good content strategy skills and keen research skills
- Love podcasts!
Skills and Experience:
- Degree or equivalent in broadcasting, journalism, audio editing, digital marketing, media production, project management or related field
- 2-4 years of experience working in a project management or operations role in an agency or production company setting
- Basic to mid level understanding of technical audio production, especially in a remote environment
- Understanding of how producing audio content is different from other mediums (print, screenwriting)
- Strong project management skills
- Skilled account manager with experience managing client relationships, solving problems on their feet and maintaining satisfaction
- Knowledge of Google Workspace

- Have an understanding of the podcasting landscape and industry
- Have an understanding of SCRUM methodology
- Have knowledge of Adobe Creative Cloud
- Have worked in a 100% remote environment before
- Have previous experience working at or with a startup
