Salary range: £40,000 to £50,000 (yearly rate) - subject to experience

Persephonica is looking for an experienced Business Operations Manager to join our team. You will be the single authoritative point of contact for the company’s business areas, helping to deliver our impressive slate of award-winning content. We are looking for someone who is ambitious, highly organised, proactive and has excellent communications skills. You will be a ‘details person’, who loves a spreadsheet and enjoys problem solving. You will have 3+ years experience in a role similar to this. Most importantly, you will be a team player, who will contribute to our company’s culture and ideas. We are proud to have our company’s HQ at the impressive Leah’s Yard development in Sheffield City Centre. You will be based in the office, with occasional travel to London to touch base with our staff there. The ideal candidate will be a podcast fan, and have an understanding of the UK audio landscape.

Role and responsibilities:

PROCESS

Ensure the production workflows for the company’s various content and systems are set up and appropriately maintained to maximise our performance.

Help identify gaps across the wider organisation (process, people, products) and be able to communicate these areas to the business owners in order to prioritise and plan for process improvements

Create budget spreadsheets, negotiate with clients and track progress with our production team to ensure profitability.

Manage, issue and maintain all project contracts, NDAs and other legal documentation.

Running our invoicing, expenses, payroll reconciliation and working alongside our accountant to supply information for end of year accounts and VAT returns.

Managing appointments and new business admin for the CEO.

Undertaking internal and external comms including weekly internal updates; facilitating staff meetings; updating company website and outward facing social media comms.

PRODUCTION

Accountable for managing new business and the effect that will have on the team structure and the business needs.

Working with key stakeholders on a regular basis to understand their deliverables, roadmaps and priorities for Persephonica

Overseeing production schedules and timelines: work alongside the production team to project manage multiple productions to ensure their smooth running

This includes the logging and maintenance of our kit across multiple locations; and facilitating productions outside of Sheffield, London and the UK; ensure productions are running effectively

Maintaining systems for archiving content

PEOPLE

Working alongside our senior leadership team to hire new staff and maintain freelance cover. Work alongside our HR partner to supervise issuing employment contracts. Facilitate appraisals and performance reviews

Maintaining company policies including Health & Safety; GDPR; Staff Handbook etc.

Managing the Sheffield office HQ, opening up, deliveries and general office admin

ESSENTIAL SKILLS

Advanced IT skills. Excel, Powerpoint, Outlook, Google Workspace

Bookkeeping. Experience of using Xero is essential. Ability to help with budgeting. Strong numeracy and accuracy skills. Specific experience with handling accounts payable and receivable

A good understanding of UK employment law, employment and freelance contracts, recruitment and onboarding best practice
